Understanding Enquiry Ownership

Every enquiry has an owner. This is the person responsible for managing it from start to finish. But being an enquiry owner isn’t just about having something assigned to you, it defines how the system behaves for you and what you can do.

When you are the owner of an enquiry:

  • You’re the main point of contact. This means you’re responsible for keeping the enquiry updated, following up where needed, and eventually resolving it. You’re the one who the system and your team look to for progress.
  • You get alerts and notifications. EMS keeps you informed with reminders, deadlines, and updates on the enquiry, so nothing slips through the cracks.
  • Your actions feed into reports and dashboards. Every update, completed task, or closed enquiry contributes to our reporting metrics. So not only are you managing the enquiry, but the system is also tracking your contribution and helping you see your progress.

Ownership also affects how you interact with others. While other users might be able to view or collaborate on the enquiry depending on their permissions, you remain accountable. That means if something is overdue or needs attention, the system flags it for you, not someone else.

Here’s how it typically works in practice:

  • An enquiry might be assigned automatically by the system or manually by a colleague. Either way, once it’s yours, EMS recognizes you as the owner, unless ownership is changed, removed or transferred to another member of your team.
  • You can update details, assign tasks, or follow up with others involved.
  • When everything is resolved, you close the enquiry, which completes the process and updates the system.

Think of ownership like having your own workspace. Everything connected to the enquiries you manage, alarms, tasks, notifications, and reports, revolves around you. The system helps you stay organized, but the responsibility to manage and resolve the enquiry is yours.

By understanding ownership, you can:

  • Stay organized and on top of deadlines
  • Ensure nothing gets missed
  • See the direct impact of your work in reports and dashboards
  • Collaborate effectively while keeping accountability clear
