Reporting: User Productivity

The User Productivity Report helps you keep track of performance during your shift. Depending on your role, it can give a quick view of your own stats, your team’s activity, or even broader trends across multiple mailboxes.

This report is all about helping you see how work is progressing, understand where time is spent, and spot opportunities to improve efficiency. It’s designed to give you real-time insights that are easy to act on, rather than overwhelming you with too many numbers.

Opening the Report

To access the report, log in to your account, go to Reports, and select User Productivity Report.

Once you’re in, you’ll land on a summary view by default. This shows the current day’s data and gives you a quick snapshot of key metrics.

Filtering the Report

You can refine the report to see exactly the data you need. Filters include:

  • Time Period / Date Range – Quickly switch between today, yesterday, this week, last week, or a custom range.
  • Department, Mailbox, or User – Focus on your team, your mailbox, or individual users. Non-elevated users will only see their own name.
  • Summary View – Switch between a daily overview, hourly breakdown, or a high-level summary.

Once you apply a filter, the report updates immediately so you can see the latest stats.

Understanding the Table

The table shows each relevant user or team (depending on your access), along with the key metrics. If you’re a team leader, you can click on a username to update the graphs and see that person’s performance in more detail. Non-elevated users only see their own stats, keeping the focus on personal performance.

Scrolling is enabled for large datasets, and table headers stay visible as you move down the page. This makes it easier to read long reports without losing context.

Downloading the Report

If you need to share or analyse the data offline, you can click Download. The exported Excel file:

  • Matches the table exactly as it appears on screen
  • Keeps all columns in the correct order
  • Includes applied filters for context

This means you don’t have to clean up the file before sharing it with your team.

Using This Report Day to Day

Most users check this report regularly to:

  • Track progress during a shift
  • Spot areas where work is taking longer than expected
  • Monitor team activity for coaching opportunities

It’s designed to give a quick, actionable view rather than overwhelm you with data. Using the filters and summary options helps you focus on the stats that matter most for your role.
