The challenge
Old Mutual Namibia operates in a corporate environment with approximately 87 users managing enquiries across multiple areas of the business.
Before the transformation, work was distributed across individual and shared mailboxes, making it difficult to gain a consolidated view of what was happening across the operation.
While employees could manage the enquiries assigned to them, managers had limited visibility into the overall health and performance of the operation. There was no simple way to answer key operational questions:
- How much work is coming in?
- How much is being completed?
- Where are the bottlenecks?
- Which areas have the highest workload?
- How is the team performing?
- Are enquiries being managed within expected timeframes?
The result was an environment where managers were largely dependent on manual updates, individual knowledge and mailbox activity to understand what was happening.
The opportunity
With 87 users operating across the business, the opportunity was to create a more structured and scalable way of managing enquiries.
The focus was not on moving existing mailboxes into Kunye Cloud. It was about creating a model that would allow employees to share work effectively, while giving managers the visibility required to understand operational performance.
The mailbox structure was therefore reviewed and consolidated into 9 shared mailboxes, creating defined workstreams that could be collectively managed by the relevant teams.
The solution
The move to 9 shared mailboxes created a more collaborative approach to enquiry management. Rather than work being tied to individual inboxes or employees, relevant users could work within shared operational mailboxes.
This provided greater continuity across teams and reduced dependency on individual employees. More importantly, the shared mailbox structure created the foundation for a single view of operational activity.
Managers could begin moving away from asking employees for individual updates and towards using data to understand what was happening across their teams.
From managing mailboxes to managing performance
The transformation extended beyond mailbox consolidation. Kunye Cloud provided the opportunity to make enquiry activity measurable.
Instead of relying solely on anecdotal feedback, managers could gain insight into their business. This changed the management conversation from:
“How are things going?”
to:
“What does the data tell us?”
