Governance, risk and compliance: proving what happened, and when

Share

Governance, risk and compliance (GRC) depends on evidence, and a large share of that evidence sits in email. A managed audit trail, showing who did what and when, turns "we think so" into "here is the record".

Why does email matter for GRC?

Risk escalations, policy queries, regulator correspondence, incident reports and complaints mostly travel by email. If those threads sit scattered across inboxes, however, evidence is slow to assemble and hard to trust.

What do auditors and regulators ask for?

  • Dates: when did you receive it, and when did you respond?
  • Owners: who was responsible?
  • Actions: what did you do?
  • Outcomes: how did you resolve it, and what changed afterwards?

What does a reliable audit trail include?

  1. A single record per issue, complaint or incident
  2. Time-stamped communication linked to that record
  3. Named ownership and deadlines
  4. A history of status changes and escalations
  5. Reports you can produce on request

How does this connect to governance frameworks?

Good governance, as set out in the King V Code, relies on accountability, transparency and reliable information reaching decision-makers. King V replaced King IV for financial years starting on or after 1 January 2026. Structured records and reporting, in turn, support all three. Confirm which frameworks apply to your organisation.

How does this relate to data security?

Equally, you need to protect the audit trail itself. Kunye Cloud has a SOC 2 Type I report, available to prospects on request, and firms should always check how any provider handles personal information under POPIA.

Where should a GRC team start?

Choose one high-risk stream, such as complaints or incidents, and test how quickly you can produce the complete history of a single case. In short, the time that takes is the gap to close.

Frequently asked questions

What is an audit trail in compliance?

A chronological record showing who did what, when and why, so that anyone can verify decisions and actions.

Why is email a compliance risk?

Email is easy to forward, move and delete, and evidence is spread across inboxes, so it's hard to show a complete and consistent record.

How can GRC teams get better evidence from email?

Link emails to a case record, assign owners and deadlines, and keep communication and outcomes in one place.
